Canberra Subaru Meetups

Privacy statement

Last updated: 16 October 2026

This statement explains how the Canberra Subaru Meetups website and club app handle the information you provide when you join, share a car or photo, RSVP, apply for access or contact the club.

Information the app collects

Why the club uses this information

The app uses this information to maintain member profiles, show shared cars and photos, organise events, manage RSVPs, review administrator and partner applications, publish approved promotions, respond to enquiries and protect the service from misuse. Optional profile and car details can be left blank where the form allows. You can browse public sections without completing a member profile.

Who can see it

Owners and approved administrators can download RSVP lists containing member names, email addresses and event responses as Excel files. Those copies are outside the app once downloaded; changing or removing a record in the app does not automatically change an exported file.

Hosting, storage and sign-in

The site is hosted through ChatGPT Sites. Structured app records use a hosted Cloudflare D1 database, and uploaded images use hosted Cloudflare R2 storage. These services and ChatGPT sign-in operate under their providers’ terms and privacy practices. An Australian-only storage location has not been confirmed; information may be processed outside Australia through the providers’ infrastructure.

The app restricts private records using account and role checks. It does not include advertising trackers. The hosting and sign-in providers may use their own cookies, logs and similar technologies to operate their services. No online service can guarantee absolute security.

External websites and purchases

Merchandise links open the external store, where purchases and payments are handled. This app does not collect payment card details. Facebook, Instagram, partner websites and the merch store have their own privacy practices. Information you submit on those services is handled by those services.

Your choices and how long records remain

You can edit your member profile, change whether a car appears in the public garage, cancel an RSVP, and remove your own content where removal controls are available. Photos uploaded to the gallery are shared publicly.

The app currently has no automatic expiry period for member records, RSVPs, enquiries or administrative records. Archiving an enquiry changes its status and does not delete it. Contact the club if you want information removed. A removal request may require checking your identity and reviewing related records; copies already downloaded, shared or retained by hosting services are handled separately.

Access, corrections and privacy concerns

To request access to your information, correct details, request removal or raise a privacy concern, use Contact us. Choose “General enquiry”, identify the record or concern and say how you would like the club to respond. Enquiries reach the owner and approved administrators. Please do not send passwords, payment card numbers or unnecessary identity documents.

The club can use the enquiry inbox and your supplied reply address to clarify and respond to your request. If your concern remains unresolved, tell the club that you wish to escalate it to the owner. For general guidance about privacy in Australia, visit the Office of the Australian Information Commissioner.

Visitor counter

The app stores an aggregate visit total and the date counting began, visible only to the owner and approved administrators. A session storage flag in your browser tab prevents repeat counting when you refresh or move between club sections. The counter does not store names, account identifiers, IP addresses or browsing histories. Separate sessions may count the same person again, so this is an estimate of visits rather than unique people.

Add to calendar and reminders

Choosing “Add to calendar” downloads an event calendar file containing its title, start and finish times, meeting location, event description and a link to the club website, with a suggested reminder one day before. If no finish time is set, the calendar entry uses a one-hour duration. The file does not include your member profile, email address or the RSVP list.

You choose whether to save the event in your calendar app. That app and any connected calendar provider handle the saved information and alerts under their own privacy settings and policies. Importing the file does not subscribe you to club emails or phone notifications; your calendar controls whether the suggested reminder is accepted and displayed. Saved entries do not automatically update if an event changes or is cancelled. Check the club website for current details and update or remove your calendar copy when needed.

Merch link counter

When you use a product’s shop button, the app increments an aggregate merch-link click total. Only the owner and approved administrators can view this total and the date counting began. The counter does not store names, account identifiers, IP addresses or individual click histories. Repeat clicks count again, so the total does not represent unique people or completed purchases. The external store handles its own visitor and purchase information under its own privacy practices.

Changes to this statement

Updates will be published on this page with a revised date when the app’s information-handling practices change.
